JOB TITLE: MARKETING ASSISTANT
LOCATION: QUINCY, MA
A. PURPOSE AND SCOPE

Shields Health Care Group is seeking a Marketing Assistant who is willing to work hard and grow with our company. This is an ideal position for a self-starter who is learn by diving into exciting, goal-driven marketing & sales activities - from professional sports partnerships to sales events to social media - every day. The successful candidate will have a passion for marketing as well as possess strong organizational skills and demonstrate creativity, all of which will be put to good use at our fast-paced, growing company. Reporting to the Chief Marketing Officer and Senior Director of Marketing for the Shields’ network, this person will work in cooperation with Shields’ sales and marketing teams and be responsible for: 

B. PRIMARY RESPONSIBILITIES

1. Provide administrative support to Chief Marketing Officer and marketing organization.
2. Schedule meetings.
3. Manage event planning process for quarterly sales team meetings, multiple sales-driven client dinners and events and internal Shields events (average of one per month).
4. Coordinate meetings and events as well as manage contracts with our professional sports partners.
5. Collaborate with multiple vendors to order marketing giveaways and tchotchkes.
6. Maintain HubSpot database and execute HubSpot email campaigns.
7. Work with Finance department to manage invoices and monthly, quarterly, annual budget sheets.
8. Collaborate with graphic designer to create, develop and implement multiple marketing and sales materials that reach our client base throughout the year.
9. Collaborate with Internal Communications Manager and support through administrative tasks including but not limited to mailings, purchasing, wrapping and shipping items for internal employee programs. 
10. Create and analyze marketing reports through Shields Business Intelligence system for entire department.
11. Provide support for social media and digital marketing campaign as well as general maintenance of Shields.com and other Shields websites.
12. Help manage Shields media campaign including development of TV and radio spots as well as recording of schedule and invoicing.
13. Travel to Shields centers and locations throughout New England to attend meetings and events, as needed. 
14. Process marketing related purchasing requisitions, check requests/invoices, and track all marketing communication estimates against billings
15. Maintain sales territory zip code list. 
16. Maintain Shields Express Link, logs, and project coordination.
17. Order office supplies.
18. Prepare and maintain folders, status reports for marketing team activities, and other administrative tasks as needed.

C. EDUCATIONAL REQUIREMENTS
College degree
D. EXPERIENCE REQUIREMENTS
One year experience in an administrative or clerical role. Excellent computer, telephone and typing skills. Ability to communicate and work well with others. Experience in a marketing environment and with events helpful. Willingness to work/coordinate off-hour events, including evenings and weekends as necessary.
E. PHYSICAL REQUIREMENTS
Ability to sit, stand and walk for extended periods of time. Local travel.
F. INTERNAL/EXTERNAL INTERACTIONS
Extensive interaction with employees at all organizational levels and outside vendors/resources.
